Engagement Record Gradebook

The following video provides instruction on setting up an Engagement Record Gradebook from the template and recording daily student engagement.  Rubric and written step-by-step instructions are also available below.

NOTE FOR SECONDARY SCHOOLS: If you need to create a new engagement gradebook for second semester, make a copy of one of your S1 engagement gradebooks and replace the old section with the new one.

Engagement Record Rubric:


AS - Assignment or Assessment Submitted only; No synchronous learning
CO - Contact with Student or Parent (including email, phone, text, chat, office hours, Google Classroom, etc.)
IPI - In-Person Instruction (only to be used for in-person or hybrid learning scenarios)
NO - No Participation (no attendance, assignment or contact from student/parent, resulting in an absent (A or UNX) attendance mark)
S - Synchronous learning participation only
SA - Synchronous and Asynchronous participation in the same period
SAA - Synchronous and Asynchronous participation plus assignment submission or assessment completion
SAS - Synchronous participation plus assignment submission or assessment completion


Printing Weekly Engagement Records
Engagement records must be printed in a format that displays a single week. This video demonstrates how to enable and set filters to display a single week, save, and print the report.  (Note: All weekly engagement reports for September must be printed, hand-signed and turned in.) 


Reassociating Gradebook Assignments
Sometimes you will find that your marks are grayed out and you will get a message across the top indicating that some assignments are not correctly affiliated to a course or student group. Take a look at this video to fix it.

ENGAGEMENT RECORD GRADEBOOK SETUP


Per SB 98

Every LEA will be required to document the daily participation of every student for each school day during which distance learning is provided. This participation can be met through, among other things, completion of regular assignments and contact between the student and an LEA employee. This daily participation must then be included in the student’s weekly engagement record, which will also document whether a student was engaged in synchronous or asynchronous distance learning for any part of a school day and track the student’s assignments.

2.  Duplicate the gradebook titled Engagement Record Template and rename it; make sure to include the word Engagement in the title to separate it from your other gradebooks.  



Elementary teachers will only make one duplicate.  Secondary teachers can either duplicate this gradebook for each section, or make a duplicate for each day type (example: group all Even (or A Day) sections together in one Engagement Gradebook and all Odd (or B Day) sections together in another.  For classes that are taught every day (SCHS) all sections could be contained in one gradebook per teacher.

3Assign the section(s) (or class(es)) to your gradebook by clicking the dropdown arrow in the By Class field.  Add all sections you want to include.  Be sure you do not mix A/B or Odd/Even day sections in the same gradebook.  Do not use Add Students Not Scheduled to You


4.  Click Save


5.  Access the engagement record entry page by clicking View>Spreadsheet.  This is how you will enter the distance learning participation type for each student each day. Alternately, you can use the Assignment List view. Both have the Fill Down option.





6.  Scan the gradebook for the previous week’s reconciled attendance codes.  Any three-letter code indicates that the Attendance Technician has reconciled an absence with either an excused or unexcused absence.  If the student with any of these codes other than UNX did not participate in your class or submit an assignment or assessment, you will use the participation code CO (parent made contact to excuse the absence) in the engagement gradebook.  If the reconciled code is UNX, and you have no evidence of classroom participation, the engagement code NO (no participation) should be entered.


To enter the code, click in the box with the reconciled attendance code and type the code (all capital letters).  The rubric is shown below.

7.  Fill Down the remaining students.  All students without attendance codes can be entered en masse by using the Fill Down feature.  The Fill Down feature can be accessed by hovering over the assignment name.  Click on Fill Down, choose Entry Type “Custom Mark”, then use the drop-down to choose your engagement mark. To fill down only blanks, choose Blanks Only in the Options drop-down menu.  Click OK to save.

To change individual marks after using Fill Down, double click on the mark, type in the new one, then click Enter.  All changes to the gradebook are autosaved.
8. Save the weekly engagement record. Capture only the previous week's dates by adjusting the filter on your gradebook. First, click Filter, then set Enable Filter to Yes. Change the Assignments filter to Filter By Date Range, then enter the Start and End Dates for the previous week. Click Update. To generate the PDF report, c
lick Reports at the top, then choose Spreadsheet (PDF), which will save a PDF copy with your last name and date/time of the file save.
